Fundraising Assistent

The position:

As Fundraising Assistant on the Fundraising & Philanthropy team you will contribute to the winning of donors and sponsors in a significant way and facilitate the successful cultivation of alumni, donor, patron and benefactor relationships with the University of Vienna. The core of the role is the administration of activities in the area of fundraising, philanthropy, communications, event management and finance. You will work collaboratively with several colleagues in different areas of the university.

This position is available for the earliest possible start date. It is a fixed-term contract for six months, with the option for permanent employment.

Job Duties and Responsibilities:

  • To assist with the smooth running of the fundraising system and processes, e.g. updating template documents, recording processes, record keeping within the workspace and on the donor database
  • To effectively and efficiently record interactions and developments with prospects and donors on the donor database
  • To assist with the coordination of visits including scheduling appointments with other university departments, preparing briefings, booking equipment, facilities and refreshments as required
  • To support the creation of reports or other formal documentation for university committees and senior staff
  • To respond promptly to requests for documentation and information from the Rector’s Office and other senior university staff
  • To liaise with colleagues across various university departments to ensure that the Fundraising & Philanthropy team has sufficient fundraising materials available at all times
  • To arrange individual, group and departmental meetings
  • To assist on donor stewardship at peak reporting periods in the year, to gather and collate information for prompt reporting to donors
  • To maintain confidentiality regarding supporter information at all times and ensure compliance with the General Data Protection Regulation (DSGVO)
  • To work to agreed deadlines and targets, as agreed, and assist with special projects and tasks within the scope of the role, as required
  • To undertake any other duties required which are within the scope and grade of the post, including providing cover and support for other colleagues at busy times and in cases of absence
  • To ensure compliance with relevant university policies and procedures.

Your Profile:

  • Process-driven with a creative flair
  • Enthusiastic team player with excellent interpersonal skills
  • Passionate about life-long learning
  • Experience in engaging with donors and/or sponsors and/or clients
  • Ability to effectively manage multiple relationships of varying complexities, meet strict deadlines and work well under pressure
  • Experience in supporting the sourcing and onboarding of new commercial and/or sponsorship and/or giving opportunities and institutional partnerships
  • Experience of prospect research and ability to research and respond to opportunities
  • Strong customer relationship management skills and care – understanding and modelling excellent donor and/or client experience
  • A track record of interacting smoothly with a wide range of stakeholders
  • The ability to coordinate audience-focused events
  • Experience in handling budgets, financial admin, HR processes, management reporting, travel arrangements and taking minutes
  • Excellent written communication skills, numeracy, organisational skills and attention to detail
  • Technophile approach to working with systems, databases, social media and tools
  • English and German
  • An Austrian driving licence or equivalent

  • Fair salary: The basic salary corresponds to the collective agreement for university employees according to § 54 VwGr. IIIa. € 2.699,20 gross on a full-time basis (14 times a year). The actual salary will be determined on the basis of professional experience and qualifications. The gross salary covers all quantitative and qualitative services provided by the employee.
